Gear promised twice
Two events overlap and nobody notices until the truck is being loaded.
For event production companiesSoftware for event production companies
Inventory, bookings and crew in one dashboard. Bakenta catches shortages and overlaps before the gear leaves the warehouse, and every technician gets their event on their phone.

The problem
Stock lives in a spreadsheet, changes in a chat and real availability in someone’s head. It works… until two events clash on the same weekend.

Two events overlap and nobody notices until the truck is being loaded.
You know what you bought, not what’s free that Saturday.
Call times, locations and changes lost across chats.

The same gear lists, copied over and over again.
Bakenta puts your gear, your events and your crew in one place. And warns you before anything goes wrong.
How it works
Five steps you already take today, now connected. What changes in the inventory reaches the event, and what changes in the event reaches the technician.
01 · Inventory
Import your inventory from Excel or CSV, or add every item with its category, SKU, photo, quantity and minimum stock. Bakenta works out how many units are free each day.

02 · Events and bookings
Dates, client and location. Add gear line by line, apply a whole kit or let the AI read the rider, and the event tells you right away what it still needs before it can go out.

03 · Shortages
If another event already has those units, Bakenta tells you how many are missing, on which dates and which booking you’re up against. Once it’s sorted, mark it as resolved.

04 · Crew
Assign people by day and by task. If someone is already working another event that day or is on holiday, you see it before you promise them.

05 · On the road
As soon as they’re assigned to an event, each technician gets a notification in the Bakenta app and sees their days with the call time, the location, the gear and the production documents.

Shortage detection
When two events overlap, Bakenta checks what’s booked against your stock. If it doesn’t add up, you know right away: how many units, on which event and against which booking.
L-Acoustics K2
Sound · SND-K2 · week of 16 Oct
4 units short on Mon 19
Festival Marea Sound doesn’t get every unit booked. You find out today, not on loading day.
Bookings in order of arrival
#1Gala Fundación Costa
Mon 19 Oct · 8 units
#2Congreso Nexa 2026
16–18 Oct · 4 units
#3Festival Marea Sound
19–21 Oct · 8 units
Whoever booked first keeps their units. Congreso Nexa ends on the 18th, before the other two begin, so it never competes.
Twelve speakers can go to three events if the dates don’t clash. Bakenta compares by day and, with load-out and return times, by the hour: what’s back at 2 pm can go out at 3 pm.
The oldest booking keeps its units; the new one shows exactly how many it’s short and what it’s up against.
Sub-hire, swap gear or adjust quantities. When you mark it resolved you say how it’s covered, and the warehouse sees it on the loading list.
The AI reads the artist’s technical rider and checks it against your inventory and the event dates. In a couple of minutes you know what you can book, what’s worth a second look and what you’ll have to source elsewhere.
Included in every plan: about 25 riders a month on Essential, and more on Pro and Business.
Readiness
Confirmation, gear, availability, crew and documents. When all five are green, the event is ready. If something goes wrong, you see it in red and know exactly where to look.
Each step links to the tab where you sort it out. A planned event is confirmed right from here.
Readiness
All set for the event
5/5
Dates, location, gear, shortages and crew by day in one document, ready to print at the warehouse.

Upload riders, stage plots and schedules to the event. The assigned crew opens them on their phone.
The warehouse ticks off loading and return, and the crew tick the same list from their phones. Once the return is closed, the gear is free for the next event; whatever is missing or comes back broken stays out of service until it’s fixed.

For your crew
No more forwarding locations and PDFs to the group chat. Every technician carries the Bakenta app on their phone, with everything they need to get there, set up and work.
When you assign them an event, the technician gets a push notification on their phone.
They say whether they can make it right from the app and see each day’s call time.
Their events, their workdays and their task at each one, in their phone’s calendar too. With the location one tap from the map.
Crewmates, gear, notes and the event’s documents, even when there’s no signal at the venue.
They check in, tick off loading and return, and report an issue without leaving the app.
You invite them by email and they sign in to the app with their own account. On other phones, from the browser.
iPhone app
Bakenta has a native iPhone app. Check your events, solve shortages and review the inventory from the warehouse, the van or the stage. Your technicians use the same app to receive and confirm their events.

Not necessarily. Bakenta runs in the browser, on computers, tablets and phones. If your team uses iPhones, you also get the Bakenta app: you manage events, shortages and inventory from your phone, and every technician receives their events with push notifications. On other phones, the team can add Bakenta to the home screen from the browser.
Yes. The native iPhone app uses the same account and the same data as the web: what you change at the office shows up on the phone and vice versa. Admins see the full dashboard; each technician sees only their own events.
For each booking, it compares the units you ask for with the item’s total stock minus what other events with overlapping dates have already booked. The oldest booking keeps its units; the new one shows exactly how many it’s short and which booking it’s up against.
It reads an artist’s or a production’s technical rider (PDF, Word or a photo) and proposes gear from your inventory: what matches, what’s worth a second look and what you don’t have, along with the rider’s notes. Nothing is saved until you review it. Every plan comes with monthly AI credits: about 25 riders on Essential, 35 on Pro and 50 on Business.
Only the events they’re assigned to: dates, their workdays with each day’s call time, location, crewmates, gear, notes and the production documents. They also tick off the gear as it’s loaded and returned. They don’t see the rest of the inventory or the events they aren’t part of.
When you assign someone to an event, Bakenta sends a push notification to their phone. If you change something later, their screen updates in real time.
Yes. Each company works in its own organization, with owner, admin, warehouse and technician roles. Nobody outside your organization can see your inventory or your events.
Through a monthly subscription managed by Stripe. There are three plans, each with every feature, based on your organization’s active users: up to 10, up to 30 or up to 80. The bigger the plan, the more AI credits it has for reading riders. If you’re more than that, we’ll make you a custom price. After paying, you come back to Bakenta to create your organization and your password. Bakenta never stores your card details.
Of course. Book a demo and we’ll show you Bakenta with a case like yours: your kind of gear, your events and your crew.
