AI assistant

Ask your company. It answers with your data.

Bakenta’s assistant knows your projects, your gear, your crew and your numbers. Ask it what’s missing for the weekend or which event made the least margin, ask for next week’s schedule as a PDF or hand it a rider. When it proposes a change, you decide.

  • Answers with sources

Every answer links the records it comes from.

  • Proposes, doesn’t decide

Add gear, assign crew or create an event, with your go-ahead.

  • Riders read

Upload the rider and it proposes gear from your inventory.

  • Invoices read

Supplier purchases recorded from the PDF or a photo.

How it works

A colleague who knows how you work.

01 · Questions

What used to be a call to the warehouse.

Open it from the header or with ⌘J and ask in your own words: which gear hasn’t come back, who’s free on Saturday, which shortages are left this week. It answers from your data, with tables and links to every record, and tells you how many credits it used. Opened on a record, it already knows what you’re talking about.

  • Shortcuts such as /today, /week, /shortages or /returns
  • Mention a record with @ to focus the question
  • Attach PDFs or photos: a rider, a plan, an invoice

02 · Proposals

It proposes the change. You approve it.

Ask it to add gear to an event, assign someone, create a rental or log an expense, and it prepares the proposal and waits. Apply saves it as is; Edit and apply opens the usual form already filled in. It never deletes anything, issues invoices or sends quotes.

  • When it assigns crew, the technician gets their alert
  • Records an attached invoice as a purchase
  • Every conversation is private to whoever writes it

03 · Documents

Next week’s schedule, as a PDF.

Ask it for next week’s schedule, a report of pending returns or the month’s closing, and it prepares a PDF document under its answer, ready to download, print or send to the team.

  • Up to three documents per answer
  • With the data of that moment, no copy and paste
  • /profitability and /closing for whoever runs the numbers
AI riders

Upload the rider. Bakenta proposes the gear.

The AI reads the artist’s technical rider and checks it against your inventory and the event dates. In a couple of minutes you know what you can book, what’s worth a second look and what you’ll have to source elsewhere.

  • A PDF, a Word file or a photo of the rider.
  • Every line with the rider’s request and the page it comes from.
  • If something falls short, which event holds the units.
  • What you don’t have and the technical notes go to the event’s notes.
  • Nothing is saved until you review it.

Included in every plan: about 25 riders a month on Essential, and more on Pro and Business.

FAQ

Good to know before you start.

Good to know

  • The assistant is for the owner and admins, on the web; it isn’t in the technician portal or the iPhone app.
  • It uses your plan’s AI credits, shared with riders and invoices. A question usually uses about 2 credits; Essential includes 160 a month.
  • It answers from what’s in your Bakenta: it doesn’t search the internet or give tax advice.
  • AI is provided by OpenAI as a data processor. Your data isn’t used to train models.
What can the assistant answer?

Anything in your Bakenta that you can see: projects, availability, shortages, pending returns, crew and schedules, contacts, vehicles and incidents. If you have access to billing, also quotes, invoices, purchases, cash flow and profitability.

Can it change my data?

Only if you approve. It prepares proposals (add gear, assign crew, create an event or a rental, log an expense, add a note or record a purchase) and nothing is saved until you press Apply. It doesn’t delete, issue invoices, send quotes or confirm events.

How much can I use it?

Every plan includes monthly AI credits: 160 on Essential, 210 on Pro and 310 on Business, shared by the assistant, riders and invoices. A question usually uses about 2 credits, a rider about 6 and an invoice about 1. Every answer shows what it cost, and Settings shows what your company has used this month.

Is my data safe?

The assistant only sees what the person asking can see, and every conversation is private to whoever writes it. AI is provided by OpenAI as a data processor, without using your data to train its models.

Which language does it answer in?

Yours: English, Spanish, Catalan or Portuguese. You can attach a rider or an invoice in another language and it still answers in yours.
