Quotes and invoices

The quote comes from the event. Not from another spreadsheet.

With your rates in place, Bakenta turns an event’s gear, crew and vehicles into a quote organized by sections. You send it with its PDF and a link, the client accepts it and the event is confirmed. Soon, the VeriFactu invoice will come from the same quote.

  • Fills itself in

Kits, gear by category, crew by department and vehicles by day.

  • Online acceptance

The client accepts or declines from a link and the event is confirmed.

  • Payments in view

Record each payment against its quote and see what each client owes.

  • VeriFactu invoicesComing soon

Deposits, final invoices and corrective invoices from the quote.

How it works

From the gear you booked to the client’s yes.

01 · Rates

Price it once. Use it every time.

In Billing details you set your company name, logo, terms and tax (Spanish VAT, IGIC or IPSI). Every item, kit and vehicle has its rate, and crew services are priced by department. A table of billable days decides how much a multi-day rental is charged.

  • A price per kit, with its contents listed
  • Three days of hire don’t have to be three times the price
  • Exempt, EU or export clients at 0%, with the legal wording

02 · Quote

Pick the event. The quote is already written.

Bakenta brings the event’s gear, crew and vehicles into sections you can rename and reorder by dragging. Add discounts per line or on the total, and if the event has gear the quote doesn’t charge for, it tells you. Every send is a numbered version that no longer changes.

  • Rebuild from the event if the setup changes
  • Warnings for lines without a price
  • Numbered P-2026-0001, with versions

03 · Sending and acceptance

The client accepts with one click.

Send emails the client the PDF and a link to their quote. From there they accept or decline it, with their name and a note. Once accepted, the event goes from planned to confirmed and the office gets an alert; if the answer comes by phone, you record it yourself.

  • A PDF with your logo, terms and footer
  • Accepted, pending and acceptance rate on the client’s page
  • A record of who accepted and when

04 · InvoicesComing soon

Invoice from the quote, with VeriFactu.

From an accepted quote you’ll issue the deposit and the final invoice, or an invoice from scratch for damage or replacements. Each invoice will take the next number in its series and be registered with VeriFactu, Spain’s invoice registry, with the QR code on the PDF. We’re switching it on company by company.

  • Deposits by percentage or amount, and corrective invoices
  • Issued invoice ledger as CSV and a full export
  • Payments recorded against each invoice

FAQ

Good to know before you start.

Good to know

  • Every quote comes from an event or a rental, even one still planned.
  • There’s no online payment or e-signature: the client accepts from the link with their name.
  • The quote, its email and its PDF use your company’s language.
  • Taxes and invoicing follow Spanish rules. Invoicing with VeriFactu isn’t available yet, and won’t cover TicketBAI, simplified invoices or FACe.
  • Only the owner and admins see prices and amounts.
Can I make a quote without creating the event?

Every quote comes from an event or a rental, which can still be planned. That way the quote brings in the gear, crew and vehicles you’ve already prepared, and when the client accepts, the event confirms itself.

How does the client accept the quote?

They get an email with the PDF and a link. On that page they see the quote and press “Accept quote” or “Decline”, with their name and a note. The office gets an alert and the event becomes confirmed. If they answer by phone or email, you record it on the quote yourself.

Does Bakenta issue VeriFactu invoices?

VeriFactu invoices are built and we’ll switch them on company by company for businesses in Spain. Once yours is active, you’ll issue deposits, final invoices and corrective invoices registered with VeriFactu from the quote. Until then, keep invoicing with your usual software and use Bakenta for quotes, payments and profitability.

Can I use it outside Spain?

Quotes work anywhere, but their taxes follow Spanish rules (VAT, IGIC or IPSI) and invoicing is designed for VeriFactu, so companies elsewhere will keep invoicing with their own software.

Who sees the prices?

Only the owner and admins. The warehouse and technicians work on the same event but don’t see rates, quotes or any amounts.
