Crew

Every technician where they belong. And in the loop on time.

Assign crew by day and by task, with each day’s call time. Bakenta warns you when someone is already working another event or on holiday, and every technician gets their event on their phone, confirms it and checks in on arrival.

  • Call time per day

A usual time and the exceptions, day by day.

  • Confirmations

Technicians reply from their phone; the office can confirm for them.

  • An app for technicians

Their days, gear, location and documents, even with no signal.

  • Everyone sees their part

Owner, admin, warehouse and technician access.

How it works

From the assignment to checking in at the venue.

01 · Assignment

Assign by day without double-booking anyone.

On every event you choose who goes on which days and with which task. If someone is already on another event that day or has time off, you see it before you promise them. And if you change the dates, Bakenta tells you before saving who will have to confirm again.

  • Colour-coded departments; a person can be in several
  • Time off and holidays on everyone’s schedule
  • Call time per day, with the usual one and its exceptions

02 · Cost

You know what every day costs.

On each person’s profile you set whether they’re on payroll, with their cost per day, or freelance, with their day rate, which you can change for a specific event. Bakenta adds each event’s crew days to its profitability, alongside the other costs.

  • Payroll or freelance, with a cost or rate per day
  • A different rate on one event when you need it
  • Only the owner and admins see the amounts

03 · Access and languages

Everyone with their own access. In their own language.

You invite each technician by email and they sign in with their own account. Technicians see only their events; the warehouse, the gear side; the office, everything. Everyone uses Bakenta in English, Spanish, Catalan or Portuguese, and gets their alerts and emails in that language.

  • Invitations you can resend from the crew list
  • A language per person; if they don’t pick one, the company’s
  • Whoever leaves the company loses access right away

For your crew

Your crew, always up to date. Even from the van.

No more forwarding locations and PDFs to the group chat. Every technician carries the Bakenta app on their phone, with everything they need to get there, set up and work.

  • Instant alerts

When you assign them an event, the technician gets a push notification on their phone.

  • Confirm with one tap

They say whether they can make it right from the app and see each day’s call time.

  • Only their own

Their events, their workdays and their task at each one, in their phone’s calendar too. With the location one tap from the map.

  • Everything for the gig

Crewmates, gear, notes and the event’s documents, even when there’s no signal at the venue.

  • Check in on arrival

They check in, tick off loading and return, and report an issue without leaving the app.

  • iPhone app

You invite them by email and they sign in to the app with their own account. On other phones, from the browser.

FAQ

Good to know before you start.

Good to know

  • The iPhone app is coming to the App Store very soon. On any phone, technicians use Bakenta in the browser.
  • Check-in records the arrival; crew cost is counted by day, not by the hour.
  • What your team writes, such as notes or item names, isn’t translated.
  • Every person with access to your organization and every pending invitation counts as an active user.
What does a technician see?

Only their own work: the events they’re assigned to, their days with the call time, the location, their teammates, the gear, the notes and the event documents. They don’t see the rest of the inventory, other events or any amounts.

How does the crew find out about a new event?

When you assign them an event, the technician gets an alert in the app and confirms or declines it with a tap. Without the app, they see it in their portal in the phone’s browser, and their events also show up in their phone’s calendar.

Do technicians need an iPhone?

No. The iPhone app is the most convenient way, with instant alerts and the native scanner, but the technician portal works in any phone’s browser and can be added to the home screen.

Which languages is Bakenta available in?

English, Spanish, Catalan and European Portuguese, both on the web and in the app. Everyone picks their own in Settings; if they don’t, they see the company’s. Alerts and emails reach them in that language.

Can I list crew who don’t use Bakenta?

Yes. You can add someone to assign them to events and track their cost without inviting them. As long as they have no access, they don’t count as an active user on your plan.
